Register a New Graduate Student Organization
Before you register through the on-line
student organization registration system (STARS)
, read the one-page guide to the STARS
system or review the Student Organization
Guidelines.
To register, you will need the following:
1. Registration status you are applying for: Provisional, Temporary,
Continuing. (Almost all organizations are "continuing")
2. Password for your organization for easy updates and annual renewal
3. Contact information for your organization
4. Mission statement for your organization
5. E-mail address and web site (if applicable) for your organization
6. Faculty/Staff Advisor's name, address, phone number, and e-mail
address
7. Names and student ID numbers of at least 5 registered student
members
8. Identify your organization's President and a Treasurer (at minimum).
9. Constitution for your organization.
You will submit this as a Word Document during the application.
Re-register an Existing Graduate Student
Organization Student
organizations need to be re-registered every year. You can use your
password from last year to update your organization profile on www.stars.umd.edu.
In most cases, you will only need to change the names of your officers.
If you have forgotten your password, you can contact the STARS office
in the Stamp Student Union at (301) 314-7158.
Benefits of Being a Registered Student Organizations
There are a number of benefits
offered through the Office of Campus Programs and the Stamp Student
Union for registered student organizations.
1. Room Reservations (free and discounted
rates): Registered student
organizations are allowed 2 organizational meeting/events per week
in the Stamp Student Union at no charge in meeting rooms that are
available to the entire campus community. (Grand Ballroom, Colony
Ballroom; Prince George's Room are not included in this free space.)
Student organizations are subject to the Student Rental Rate (75%
discount) for use of the Ballrooms and Prince George's Room or for
any of the other meeting rooms if there is any admission charge
for their meeting, program or event.
Only the authorized student organization officers
as listed on their student organization's registration are allowed
to make reservations on behalf of the student group. To authorize
a student, add them to your list of registered students A student
organization's faculty/staff advisors are not authorized to make
contractual or financial obligations on behalf of the student organization
that they advise. All Stamp Student Union reservations should be
made through the Campus
Reservations Office. Appointments to meet with the office are
highly recommended.
2. Staff Support/Program Planning:
The Coordinator of Graduate Student Life is the primary support
staff for graduate student organizations. Contact the Coordinator
at yckim2@umd.edu for questions or concerns about your organization
or an upcoming event. Another resource for campus event planning
is the Event
Management Handbook. It lists resources, guidelines and suggestions
for programming here at Mary land.
3. Discounts for Supplies:
Discount to registered student organizations for the purchase of
supplies and group- related items from the University Book Center.
4. Access to Graduate Student Government
(GSG) Funding: As a
registered Graduate Student Organization, you can receive Graduate
Activity Fee money that is managed by Graduate
Student Government. GSG has an excellent FAQ section detailing
the steps for receiving funding at www.gsg.umd.edu/financial
5. Access to University Privileges
through GSG:
Access to GSG funding processes and resulting privileges (e.g. use
of University services such as printing, purchasing, motor pool,
general stores.
6. Information Technology Support:
Secure access to information about your group members such as group
roster, mailing addresses, mail reflector and other services as
technology is developed.
7. Web Page Access:
Free web page allotment up to 10 megabytes. Click here for an application

8. Free Publicity:
Inclusion of information from your group about upcoming events/activities
in Union and Campus Programs sponsored publications, such as campus
calendars and the Guide to Student Organizations.
9. Organization Directory Listing:
Listing in the Student Organizations Directory through the STARS
system and Graduate Student Involvement website.
10. University Awards:.
Access to information regarding University awards and nomination
processes for group and individual members.
Responsibilities of Student Organizations
1. Organizations and its members must follow University regulations,
including Code of Student Conduct as well as all federal, state
and local laws.
2. Organizations cannot be used for commercial purposes in order
to provide private financial benefit to any person or group outside
of the organization itself or UMCP.
3. An organization and its members cannot discriminate in its admissions
to membership in violation of federal, state, local law or University
Guidelines.
4. Organizations must follow all GSG financial guidelines.
Find Funding for Your Organization
As a registered Graduate Student
Organization, you can receive Graduate Activity Fee money that is
managed by Graduate
Student Government. GSG has an excellent FAQ section detailing
the steps for receiving funding at www.gsg.umd.edu/financial.
Additionally your organization can:
- Collect dues from members
- Cosponsor with an undergraduate/SGA funding
organization
- Apply for funds from an affiliated department
- Contact different offices on campus for
funds (e.g., Provost, OMSE, Graduate School)
Set Up a Bank Account For Your Organization
The University doesn't run a student
bank so organizations that want an account need to use a local bank.
If needed, you can receive a letter from the STARS office in the
Office of Campus Programs (0110 Stamp Student Union) to verify your
student organization status.
It's possible you don't need a bank account.
If you are requesting money from Graduate
Student Government they will either reimburse you for purchases
or pay for the services directly. However, if you collect dues or
hold fundraisers, you will need an account.
